This Privacy Policy explains how Reality Relay collects, uses, discloses and retains personal information through realityrelay.com, field-guide requests, optional email updates, pilot applications and Platform accounts.

Information we collect

  • Contact and professional information, including your name, work email, organization, role and location.
  • Pilot and business information, including your use case, environment, desired timing, the description you choose to provide and campaign-source parameters attached to your inquiry.
  • Field-guide and email preferences, including your name, email, organization, requested resource and whether you affirmatively selected optional Reality Relay updates.
  • Account information, including identity, profile, authentication and workspace information when you create or use a Platform account.
  • Community information, including creator name, submitted files, titles, descriptions, categories, licenses, provenance, rights confirmations, moderation status, reports, downloads and publication history.
  • Payment and credit information, including organization credit balance and ledger activity, Stripe customer, Checkout, payment, charge and transaction identifiers, purchase amounts, currency, refunds, disputes and payment events. Complete card details are collected and processed by Stripe, not Reality Relay.
  • Technical information, including IP address, browser, requested page, request time, security events and similar hosting logs.
  • Optional analytics information, such as page views and selected engagement events, only after you allow analytics.

Please do not submit sensitive personal information, trade secrets or confidential technical details through the pilot form.

How we use information

We use personal information to deliver requested field guides, send occasional Reality Relay updates only when selected, review and respond to pilot inquiries, communicate with you, provide and secure Platform accounts, operate the moderated Community, attribute creator releases, process reports and rights requests, process authorized credit purchases, maintain balances and transaction records, meter eligible creation services, operate and improve the website, measure consented site engagement, prevent abuse and comply with law.

Community publication

If a Community submission is approved, its creator name, title, description, category, selected license, AI-generation disclosure, technical format and publication date may become public. Original files remain in private storage and are delivered to eligible signed-in users through time-limited access links when downloads are permitted. Do not put personal information in a public title or description that you do not want others to see.

Analytics and browser privacy signals

Google Analytics 4 is optional and does not load until you select “Allow analytics.” Advertising storage, advertising personalization and Google Signals are disabled. Your choice is stored on your device. Global Privacy Control and browser Do Not Track signals keep optional analytics off. You may change your preference at any time.

When a Reality Relay link contains campaign parameters, the parameters may be kept in session storage and submitted with a pilot application so we can understand which page or outreach led to the inquiry. This first-party inquiry attribution is limited to the current browser session, is not used for cross-context behavioral advertising and is sent to Google Analytics only if you allow optional analytics.

How information is disclosed

Reality Relay does not sell personal information and does not share it for cross-context behavioral advertising. Information may be disclosed to service providers that help operate the website and business, including Vercel and Cloudflare/Sites for hosting, Supabase for account, workspace and credit-ledger services, Stripe for payment, billing and fraud prevention, AI service providers selected to perform requested generation, FormSubmit for field-guide and pilot-form delivery, Google/Gmail for email delivery and Google Analytics after consent. These providers process information under their own applicable terms and privacy commitments. Information may also be disclosed when required by law, to protect rights or security, or as part of a business transaction subject to appropriate safeguards.

Retention

Field-guide requests, email preferences and pilot inquiries are generally retained for up to 24 months, unless you request deletion or an ongoing relationship, dispute, security need or legal obligation requires longer. Platform account, workspace and Community records are retained while the account or listing is active and for a reasonable period afterward. Reported or removed content and moderation evidence may be retained longer when needed to resolve rights, safety, fraud or legal issues. Billing and transaction records may be retained for the period required for accounting, tax, fraud prevention, dispute handling and legal compliance. Consented analytics data is configured for limited retention where available. Hosting and security logs are retained according to operational and provider requirements.

Your choices and requests

You may ask to access, correct or delete personal information you provided, withdraw from pilot communications, or unsubscribe from optional updates at any time by using the unsubscribe method in an update or emailing info@realityrelay.com. We may need to verify your identity and may retain information when permitted or required by law. Reality Relay will not discriminate against you for making a privacy request.

California privacy

California residents may have additional rights under applicable law. Reality Relay will honor rights that apply to its activities and will reassess its notices and request procedures as the company and data practices grow. Because Reality Relay does not sell personal information or share it for cross-context behavioral advertising, there is currently no sale or sharing to opt out of.

Children

This website and its pilot process are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children through the pilot form.

Security and international processing

We use reasonable administrative, technical and organizational measures designed to protect personal information. No system is completely secure. Information may be processed in the United States and other locations where service providers operate.

Changes

Material changes will be posted here with a revised effective date. We may provide additional notice when appropriate.
