Qualify the moment
Choose a decision, repair, review or consultation where scarce expertise already creates travel, delay or lost opportunity. Record the current cost and resolution baseline before introducing a Space.

Prepare both rooms
Confirm the local object or work area, remote expert’s view, conversational eye line, shared references, session authority and privacy requirements. The expert should arrive with context, not ask the room to reconstruct it.

Operate the session
A local owner opens the interaction, establishes who can advise and approve, and keeps the physical task safe. The operator can observe, pause, recover and move to an ordinary call if the presence layer fails.

Close with evidence
Record the decision, next owner, time to outcome, avoided travel and any follow-up visit. Review failed handoffs and unresolved sessions before expanding to more specialists or sites.
Decision gates
Presence must outperform the simpler call.
Physical context matters
If the expert only needs to exchange information, use a conventional call. Choose presence when body language, shared objects, room authority or sustained group attention changes the quality of the decision.
Authority stays clear
Everyone must understand who is advising, who is authorized to act and which local procedure takes precedence. Presence cannot blur professional, safety or approval boundaries.
Operations survive novelty
Do not scale while an engineer is required beside every session. A trained nontechnical owner should run, recover and measure the approved workflow repeatedly.
